Who's here, and who to call

Each activity has its recurring sessions and its room. The instructor opens their phone and checks off who's present; the school sees right away which sheets are missing. And when something has to happen fast, the information is in front of the right person.

Every parent has their own space, in their pocket

A link arrives by email, and the parent is home: their balance, their invoices, their children, their registrations, the documents they still owe. No password to remember, no app to install — it opens in the phone's browser.

  • Balance and online payment, invoices and receipts downloadable any time

The three reasons to say no, settled in advance

In a school, what blocks a decision is almost never the feature list. It's the protection of student information, the budget someone has to get approved, and the IT project nobody has time to run. CoolPlay is built so that none of the three comes up.

  • The data. A policy compliant with Quebec's Law 25 and Canada's PIPEDA, a designated privacy officer, a privacy impact assessment for transfers (s. 17), and data hosted in Canada
  • Minors. Student profiles start at the most restrictive settings — not because someone ticked a box, because that's the default
  • The budget. Nothing to get approved before you start: registration fees fund the platform, and the school can pass them on or absorb them, its call
  • IT. Nothing to install, no workstation to configure, no integration to negotiate with your student information system: it opens in a browser, and your lists import from a file

You create your activities

Name, price, schedule, room, number of spots, questions for parents. A template you reuse from one term to the next: the winter term takes minutes to set up.

You share a single link

In the school newsletter, on the website, or as a QR code on the poster by the front door. Parents see the activities, the spots left and the prices.

Parents register and pay

In a few minutes, from their phone, for one child or several. The group closes on its own once it's full and the next families go on the waitlist. The office types nothing.

The activity runs

Instructors take attendance and you message the group when a session is cancelled. At year end, one page gathers every family's tax receipt: you review, you issue, they go out.

What if the school doesn't want to collect online?

That works too. You can open an activity with no online payment: registration, spots, attendance and lists all behave the same, and you bill the way you already do.

How is student data protected?

Information lives in one place rather than in copies of a spreadsheet. Encryption in transit, and access limited by each person's role: an instructor only sees their groups, a lead only their activity, and a staff member can be restricted to specific activities. The principal and the office decide who gets access to what. Your data stays yours and can be exported at any time.

Can we offer a free or reduced rate to some families?

Yes, and without the family having to ask in front of anyone. A discount code can lower the price or waive it entirely; you can also set a sibling discount or an early-bird rate that switches over on its own at the planned date.

Do parents have to create an account or install anything?

No. Registration happens in the browser, from a link or a QR code. They then get a passwordless link to their portal by email. The mobile app is available, but optional.

Can we import our student list?

Yes, from a CSV file — families and children come in at once, with the parents' email addresses. We don't connect directly to Mozaïk, GPI or another student information system: you need to export from it first.

Does it also cover interschool sports?

Yes. Tryouts, teams, game schedules, game sheets, live scoring and standings are part of the same platform. Your after-school activities and your teams live in one place.

Do we have to talk about sports to use it?

No. When you create your account you pick “School or after-school”: the app then says student, group, lead and school year, on screen and in the emails parents get. Sections specific to competitive sports drop out of the menu. You can change your mind at any time in the settings.

How much does it cost?
